Financial grant for student organisations
Aalborg University supports student organisations, including students elected to the university’s governing bodies (Board of Directors, Department Councils, Academic Council, Study Boards) with financial election grants.
The premise for awarding a financial election grant is that the students are affiliated with a registered student association. Thus, it is the association that receives the financial election grant.
Students elected without affiliation to a student association do not receive election grants; instead, the amount is allocated and distributed to the student associations that have elected representatives.
Reference is made to “Grants to student organizations, including procedures for election grants to students elected to governing bodies at AAU” (In Danish) for further criteria and conditions regarding the disbursement and use of election grant funds.
Each year, AAU receives a grant via the Finance Act for distribution among the student organisations. It is a condition for the awarding of the government grant that the institution has established criteria for the distribution of the funds, that these criteria are publicly available, and that the institution also publishes every year how the grant is concretely distributed.
At AAU, the government grant is distributed equally between the organisation(s) or student associations whose representatives are elected to the two seats for students on the university's board.

Diploma
The students' participation in AAU's governing bodies is important in order to give the students an influence on how AAU's programmes are best developed from a student perspective. As concrete recognition for their commitment, elected students in AAU's governing bodies will therefore receive a diploma. The diploma describes, among other things, the tasks they have been involved in, as well as the competences they have gained by sitting on the governing body. The diplomas are therefore an obvious supplement to the students' CV.
The diplomas are issued when the student leaves the governing body. If the student does not receive a diploma unsolicited, the student can contact the relevant secretarial officer of the governing body. All students who have served on a governing body are entitled to a diploma, however, on condition that they have participated to a satisfactory extent. It is the chairman of the relevant governing body who decides whether the diploma can be issued to the specific student on the basis of his/her membership period and commitment
Confidentiality
Students are subject to a duty of confidentiality regarding the personally sensitive and confidential information that they become aware of in connection with the work in one of AAU's governing bodies. It can, for example, be personally sensitive information about other students. It may also be information which for other reasons must not be disclosed to unauthorized persons.
By signing a declaration of confidentiality, the student declares that he/she will comply with the rules on confidentiality and is aware that a breach of the confidentiality will be a violation of Aalborg University's Rules on Disciplinary Measures. It is not a condition for joining a body that a student signs a declaration, as a student is in any case subject to the rules on confidentiality in connection with work in one of AAU's governing bodies. The declaration's primary purpose is to strengthen students' awareness of the rules on confidentiality in connection with work in a governing body.
